Southampton Hospital reaps the benefits of onSITE

Southampton University Hospitals NHS Trust is reaping the benefits of onSITE as part of a total information solution provided by MDT.

The Trust is one of the largest in the UK with approaching 7500 staff in clinical and support roles located on four sites.

Following years of site development and change, the Trust had amassed large amounts of data relating to the facility in a wide range of formats from paper drawings and manuals through to CAD drawings, Microsoft Word documents, Excel spreadsheets etc.

In order to run the Estates & Capital Development Department effectively, the senior management agreed that the unstructured data problem had to be solved and contacted MDT.

After a short period of consultation, MDT implemented a solution that comprised of document and drawing scanning, electronic data import and integration with existing systems to bring together all data in a structured manner.

The information was then deployed using the onSITE document management solution to over 100 staff throughout the Trust, exceeding all the expectations of Paul Sales, Business & Information Manager of the Estates & Capital Development Department at Southampton Hospital.

Paul Sales said “Now that the system has been implemented, estates staff are able to locate infrastructure information at the touch of a button. Delivery of key objectives such as design, project management, infrastructure development and maintenance has been significantly enhanced.”

”The Estates & Capital Development Department has improved service levels and helped the Trust meet Government performance indicators. Our partnership with MDT allows us to focus on our core business.”

Following the success of this project, Paul Sales instructed MDT to embark on an ongoing programme of further work. This included CAD conversion of key drawings, verification surveys, and asset management surveys in support of the annual ERIC returns.

In addition MDT installed several scanning systems to enable the Trust to maintain is own paper records in the electronic environment.

MDT continues to work in partnership with the Trust to ensure that their estates information is accessible, relevant and up-to-date.
